"Reframing Difficult Conversations: How Positivity Can Be Your Greatest Asset—and How AI Can Help"

As sales professionals, we're often told that having difficult conversations is a necessary part of the job. But what if your natural inclination towards positivity makes these conversations particularly challenging? I recently had a conversation with a sales professional, James, who shared that he sometimes struggles with this very issue. And believe me, I understand—I’ve been there myself.

Positivity is my #1 strength, and I used to avoid conflict like the plague, especially when it came to having crucial conversations. I wanted to keep everything light and happy, believing that this approach would yield the best results. The problem? It wasn’t always getting me where I needed to go.

Then one day, I had a realisation that changed everything: Performance issues or performance management don’t have to be negative.

For some reason, I had been attaching a negative connotation to these crucial conversations. Maybe it was to keep the peace, maybe it was because I didn’t want to disrupt the harmony. But once I realised that performance discussions could be framed around exploring greater opportunities rather than just addressing problems, everything shifted.

The Power of Reframing: Focus on Opportunities, Not Problems

Let me share with you what worked for me—reframing the conversation. Instead of focusing on what’s wrong, I began to focus on the opportunities ahead. This doesn’t mean ignoring the issues. Instead, it means using them as a stepping stone to discuss what could be improved, what’s holding us back, and where we can grow.

Here’s my “Positive Performance” thought process:

  1. It’s Not About Me, It’s About Them: Make the conversation about their growth and development, not your frustration or disappointment.

  2. Use “We” Language: Frame the discussion as a team effort. We’re in this together.

  3. Help Them Grow and Maximise Opportunities: Position yourself as a partner in their success, not just a critic.

  4. Set a Clear Vision of Success: Help them see what success could look like, and the steps needed to get there.

  5. Recognise What’s Working Well and Identify Roadblocks: Acknowledge the positives and discuss what might be holding them back.

  6. Gain Buy-In and Set a Plan for Action: Collaborate on a path forward, making sure they are fully on board with the plan.

Reframing in this way completely changed the tone and delivery of my conversations. It was a game-changer for me.

How This Looks in Practice: An Example

Here’s an example of how I approach these conversations now:

“Hey [Name],

Happy September!

Attached is a summary of last month’s performance. Remember our discussion about aiming to improve our key metrics this year? We're not quite where we want to be yet, but here's what I'm seeing in terms of progress and areas for potential improvement.

What’s Going Well:

  • The team is highly engaged, and there’s a strong sense of collaboration and enthusiasm.

  • We've seen solid growth in client satisfaction scores and repeat business, indicating positive customer experiences.

Where We Could Improve:

  • We need to optimise certain processes to reduce turnaround times and improve efficiency.

  • There’s an opportunity to refine our approach to client engagement, focusing on more personalised and impactful communication strategies.

Next Steps:

  • Let’s set up a short session next week to brainstorm and role-play some new strategies to enhance our performance in these areas.
